Employee Management
Manage staff, roles, permissions, and time tracking.
Plasma provides complete employee management from hiring to scheduling. Track time, control access, and report on labor costs.
Adding Employees
Create Profile
In the Portal, go to Employees → Add Employee. Enter name, email, and contact info.
Assign Role
Select a role that determines their permissions (Server, Manager, etc.).
Set PIN
Create a 4-6 digit PIN for POS login. Employees can change this later.
Activate
Toggle the employee to "Active" status. They can now clock in.
Roles & Permissions
Plasma includes pre-built roles with sensible defaults:

| Server | Take orders, process payments, view own sales |
| Bartender | Server permissions + bar-specific items |
| Host | View floor plan, manage waitlist |
| Kitchen | KDS access only |
| Manager | All server permissions + voids, discounts, reports |
| Owner | Full access including settings and billing |
Custom Roles
Need something specific? Create custom roles in the Portal:
- Go to Settings → Roles
- Click Create Role
- Select individual permissions
- Save and assign to employees
Permission changes take effect immediately. Employees may need to log out and back in.
Time Tracking
Clock In/Out
Employees clock in from the POS:
- Tap their name on the login screen
- Enter PIN
- Status changes to "Clocked In"
Clock out follows the same flow. Shift automatically records to timesheet.
Break Management
Track breaks for labor compliance:
- Paid breaks — Time counts toward shift
- Unpaid breaks — Time deducted from hours
Configure break rules in Settings → Time Tracking.

Tips & Earnings
Tip Pooling
Configure tip distribution:
- No pooling — Tips go to assigned server
- Equal split — Divide among clocked-in staff
- Points-based — Weighted by role (server: 10, busser: 5)
Tip Reporting
Track tips for tax compliance:
- Daily tip totals per employee
- Credit card tips (automatic)
- Cash tips (employee-declared)
- Tip-out reports for management
Labor Reports
Access comprehensive labor analytics:

Track performance by server:
- Orders taken
- Sales total
- Average check size
- Tips earned
Labor Cost Analysis
Monitor labor as a percentage of sales:
- Hourly labor cost
- Sales per labor hour
- Overtime tracking
- Schedule vs. actual comparison
Labor reports require employees to clock in/out consistently for accurate data.

Security
PIN Best Practices
- Require unique PINs (no sharing)
- Minimum 4 digits (6 recommended)
- Automatic lockout after failed attempts
- Manager override for locked accounts
Audit Trail
All employee actions are logged:
- Clock in/out times
- Voids and discounts applied
- Cash drawer access
- Settings changes
Access logs in Reports → Audit Trail.
